The ruler in Word 2016 displays horizontally across the top of your workspace, and can be used to align text, graphics, tables, and other elements in your document.

To display the ruler if you can’t already see it, go to the View tab and make sure that Ruler is checked (in the Show group).

Using the Ruler. Microsoft Word is notoriously bad and difficult for formatting tables. There has been great improvement in the last few versions but still many users do not know the processes or short cut keys. This guide will demonstrate: How to have basic control over formatting of data in a table using the ruler. Software/Hardware used: Word 2010, but it should also apply to Word 2007. Click on the View tab in the Office Ribbon and then check Ruler in the Show group. Note: If the View tab is not visible skip to the next section of the guide. Rulers will appear on both axis. View Tab Not Visible? Go to Word Preferences View(under Authoring and Proofing Tools). Then, in the Viewdialog box, select the Vertical rulerbox. Change the unit of measure. You can change the unit of measurement displayed on the rulers, to do this: Go to Word Preferences General(under Authoring and Proofing Tools).

Similarly, you can hide the ruler in order to make more room for your document by unchecking the checkbox.

Even if you have Ruler checked, you will not see it in Read Mode, or Outline View. However, it will be displayed in all the other views.

But what is the ruler’s unit of measure, I hear you ask? Is it centimetres or is it inches? To find out, and also to change the ruler’s UOM, click File > Options > Advanced, and scroll to the Display settings. The Show measurements in units of selector displays the units currently being used by the ruler (and everywhere else in the document).

You can change the UOM to any one of:

  • inches
  • centimetres
  • millimetres
  • points
  • picas

Make your selection and then click OK.
